How to sell more with sales automation software

Sales have gone on for centuries. From the forums of Rome to the merchants of Venice, trade has been an ancient art that has brought civilizations together. With each trade, there must have been a salesman bringing their wares to the marketplace, looking around to see how they could make a difference in the lives of their clients.

An ancient tradition has come with its ingrained rules and practices. Yet as the world evolves to a series of digital networks, even this set of traditions has to adapt and change.

Everybody wants to sell more. Your performance reviews demand it. Your salary or your business depends on it. Maybe you derive happiness from doing it well.

Here’s how you can sell more by selling less.

People always talk about sales automation software and customer relationship management databases (CRM), but that’s only half the picture. These cutting-edge tools are only useful if you combine them with the age-old lessons learned through plain human connection.

We’ll start there:

1 – Focus on providing value

Almost every guide to networking, relationship building, or sales starts with this simple rule: if you’re looking to provide value rather than get it, you’ll be well on your way to building meaningful win-win relationships. It’s much better to create mutually beneficial relationships where you add as much value as you get. It’ll mean the difference between you selling a five dollar widget once —or partnering with that somebody to create a widget factory.

Steve Blank, a famous entrepreneurship mentor and the creator of the Customer Development methodology that preceded the Lean Startup movement, the foundation of the success of technology giants such as Facebook, put it bluntly when asked how people could get meetings with him, people usually too busy to see you or anybody else.

He said to get a meeting with him, you have to teach him something he doesn’t know.

He doesn’t want money or equity in your venture. He wants to know that you’re looking to provide value to everybody you meet. He wants to know that you’ll pay it forward, and that you’re looking to build meaningful, mutually beneficial relationships.

Focus on building value and you’ll get meetings with people too busy to see you. The rest will come.

2 – Stop looking just for sales

When he was looking for money to fundraise from American Express, Kiip CEO Brian Wong didn’t ask for money. He asked for advice. It was a cold email, but by following the tenet that you “If you ask for money, you get advice. If you ask for advice, you get money.”, he was able to close fundraising with some of the busiest people in the world.

The truth of the matter is that if you’re looking only to close sales, that’ll become readily apparent. Focus on building relationships outside of dollar signs and treating clients like the people they are rather than just a number.

People often make decisions based on factors beyond the numbers themselves, from trust to the amount of rapport built between you and a customer. If you stop looking to make sales all the time and start treating prospects like friends, you’ll be on much stronger footing to close mutually beneficial deals.

3 – Learn more, sell less

Many sales methodologies focus on learning from clients, and no wonder. Every client has a pain point they want to solve: it’s only by listening to them that you can uncover what that pain is and how you can solve it.

If you’ve focused on providing value and stopped looking just for sales, you’ll have established a relationship with the client which allows them to trust you with what they really think. And when you ask them for real insightful feedback, you’ll get everything they love about the product–and what they need for it to fit their needs perfectly.

Spend more time researching exactly what the customer needs rather than filling the space with sales prompts. When you’re ready to close a deal, you’ll know exactly what your clients want. They’ll be ready to trust you with the solution you’ll provide.

4 – Use automation in the right way

Now comes sales automation software, the sales automation tools that will save you time while closing you more deals. If you’ve embraced the magic of relationship building you shouldn’t view sales automation software as a shortcut around the hard work needed to build the relationships you need to succeed. You should view it as a way to have the time to create networking magic at scale.

Sandi MacPherson of Quibb sends a personalized message to everybody who registers to her curated sharing network of experts. The team at Crew, a marketplace for premium high-end freelance designers, sends a personalized handwritten greeting card to their paying customers.

In order for you to replicate that personal magic, you need to automate away the painful logistics.

You need a way to reach out to them easily whether it’s their birthday or you’re looking to close a deal, or you want to share with them something of value. New Feature – History Redesigned

We’ve simplified and enhanced the history feature! Now if you’ve typed a note into a record and leave the page, the note will be there when you get back. History now has pagination and should load faster.

You can send email to your contacts by clicking the Send an Email tab. This will open the karmaCRM email client where you’ll have access to all of your email templates.

We’ve also added additional filtering, so you can see only your history or all history

The history items are now shorter and more concise, so you can see more in less space. We also auto-load all comments so you see them all inline, without having to expand each one.

We’ve added a number of enhancements to the email dropbox system!

You now have your own special task dropbox email. With this address, you can create tasks in karmaCRM via your email. You can also add due dates, assign them to co-workers and attach them to contacts with special subject commands.

Deal and Case dropboxes

Now each case and deal has their own unique dropbox. If your deal lifecycles are long, you want to make sure all communication makes it back to the deal. You could even create a contact in your email client for each address as you create new deals.

Find the deal dropboxes in the sidebar at the bottom of each deal and case.

New Feature – Centralized Support!

You can now easily submit (and check the status of) bugs, issues and suggestions right within karmaCRM. If you browse to the help menu (top right of the header), you’ll now see a few options. These will toggle the messages sidebar, where you can submit your questions. As long as you submit your feedback through this side menu, you’ll also be able to see a running history of all conversations we’ve had together. You can access this history by pressing the “Show My Tickets” menu item.

Every time we push updates, you’ll now know exactly what bugs were fixed and what features were added. Look to the right help menu for a green indiciator, letting you know there’s something new for you to check out.

KarmaCRM Scheduled Downtime: Saturday, January 17th 10AM EST

KarmaCRM will be moving to a new data center on Saturday, January 17 beginning at 10am EST. We are allowing for a 24 hour window for the data center move, but expect things to go a lot quicker than that. During this time, your karmaCRM accounts will not be accessible.

Switching data centers will allow us to provide faster, more reliable services to you in 2015 and beyond.

New Feature – Beta Outlook Plugin

Ask and ye shall receive! We are really excited to announce the Beta release of our #1 asked for feature, the Outlook plug-in! Here at karma, we are continuously working to make your customer relations more convenient, and with our new Beta Outlook integration you are one step closer to spending more time with your clients and less on the computer.

What does this plugin do?

The Beta Outlook Plugin allows emails, tasks, events, and contacts to sync between karma and Outlook.

So, are you ready to take over the customer service world? You’re just a few clicks away from making it happen!

The Download

You can download the plugin here. Since the plugin is not from Microsoft Corporation, you will see a security warning – just select ‘keep’ and download the plugin. While installing the plugin, you’ll have to accept a license agreement, which is the usual ‘selling your soul to the devil’ type of stuff – nothing too different. Just click on ‘I agree’ box and you are ready to install!

*Note: If your .NET framework isn’t the most current version, you will be notified during the install to update it. Follow the provided link, and install the most current version. This is complete safe and normal for this type of plugin.

Logging In and Customizing

Syncing your data is pretty easy AND it is accompanied with a tutorial. Once you complete the tutorial, you will need your karmaCRM username and password to login.

What’s something we love about karma? It’s customizable, so of course the plug-in is too!

Make sure to click the “Settings” tab in the login box to determine how you want karma and Outlook to talk to one another. FYI, you can change these settings anytime by going to ‘Settings’ within the karmaCRM tab of Outlook.

Sync It Up!

To start the sync, just click on the button for the type of data you want to sync. As the data is transferring, you’ll see the progress bar. Once completed, you’ll be notified that your syncing has been completed. If you have tons of data, it may take a while, but you will still receive an email during the transfer.

Contacts and tasks work as you would expect them to, they go in the appropriate tab within Outlook.

Events are placed under the calendar in Outlook as appointments. If you have multiple calendars in karma, each calendar will be created in karma separately, and your default calendar in Outlook will be created in karma.

To send Emails into karma, just right click on the email in Outlook and select Export to karmaCRM. if the contact isn’t in karma, you’ll be asked if you want to create the contact. Follow the prompts and in seconds, the email will be in the history of the contact.

And there ya have it! You’re ready to keep your customers in sync and keep things organized! We know your time is valuable. We want to help you use that time wisely and on more important things.

We’ve been quite busy in October, focused on overhauling our mobile presence. As mobile usage, phone screen sizes and time away from home increases, it’s increasingly important to have your business in your pocket.

These new apps include contacts, companies, notes, todos, deals and events. Once released, we’re going to be aggressively using the apps ourselves and gathering feedback on how we can improve.

We’re days away from releasing an Outlook plugin that should make it a breeze for you to sync your Outlook contacts, tasks and events with karmaCRM. Look for the official download in this months newsletter!
