Managing Your Calendar

Adding / Editing Events

There are two ways to add events in your Calendar. In the month view you can click on a date. You can also click and drag across multiple dates to create a multi-date event. This section will explain both ways further.

Add an event by clicking on a date

To create an event, single click on the day of the month you’d like the event to occur. You may click anywhere in the red box. In this example the event will occur on September 2nd.

In the New Event box put the title of the event in the box below What. In the box below Where put the location of your event (this can be the name of the location [office, home, etc.] or the physical address [123 Main St., Anywhere, ST 12345]). The date of the event will already be filled in, as you selected it to begin with.

If the event is to last all day (such as a birthday or day-long conference) make sure the box next to the date is selected. Below is an example of what an all day event looks like.

If the event is only to last a specific number of hours, uncheck the All Day box next to the date and the time appears. Choose the specific time for your event. The time the event should begin goes in the first time box below When, next to the date. The time the event should end goes in the second time box after to before the ending date. See the example below.

When creating an event you have the option of making the event repeat. What this means is that if you have a weekly meeting you can create one event and set it to appear on your calendar weekly. To make a recurring (or repeating) event, please go to the Recurring Events and How They Work section of this guide.

If you choose, you may then complete a description of your event in the box below Description.

You have the option of setting up a reminder to alert you before the event. To set a reminder for your event, please go to the Setting Up Reminders section of this guide.

Once you have made all the appropriate selections, click Create in the bottom left corner.

The system will then take you back to the monthly calendar and a notice should appear that the event has been successfully created. You should then see your event on the calendar.

Add an event by clicking on a date

If you have an event that will last for a period of more than one day (vacation, conference, etc.), you can create the event by selecting multiple days on the calendar by clicking and dragging on the dates.

In this example the event will occur from September 7th to September 9th.

Once you fill in the form, you'll be taken back to the monthly calendar and see a message that your event has been created. You should then see the event on the calendar.

Adding Reminders

If you would like a reminder to alert you before the event select the Add Reminder option below Reminder.

You have three choices for a reminder. The reminder can pop-up on your computer, you can receive an email, or you can have an SMS (short message service [i.e. text message]).

In the box next to the choices, below Reminder, enter the number and then select minutes, hours, days or weeks. For example, if you wanted an email reminder 1 hour before your event then you would choose email in the box below Reminder, enter 1 in the next box, and choose hours in the next box. Also, if you would like multiple reminders for the same event you just select Add reminder again and set up another one.

Once you have made your selections, click the Create button at the bottom left of the box.

Rescheduling Events

To reschedule an existing event on your calendar, click on the event you wish to change. You will be prompted to Edit or Delete the event. Select Edit. Or, if you prefer, you can also click on the event and drag it to the new date.

At this point you will be taken back to the Edit Event box. Make the changes to the date, time, etc. In this example we are moving the event from the 2nd to the 3rd

Once you have made your changes, select the Update button at the bottom left of the box. You will be taken back to the calendar screen and the appropriate change should be seen on the calendar.

Working with Recurring Events

When creating an event you have the option of making the event repeat. What this means is that if you have a weekly meeting you can create one event and set it to appear on your calendar weekly. If you select the arrow after Does not repeat you will see a list of options. Your event can repeat daily, weekly, monthly, or yearly. Select the appropriate choice for your event.

Daily Event

If you select Daily in the drop down box below Repeat you'll be prompted to select how frequently you want the daily event to occur. In this example we are creating an event called Pay Day that occurs every 14 days. When you have made the appropriate selections, choose the Create button at the bottom left of the box.

You will then be taken to your calendar. You should see your event occurring every 14 days on the calendar.

Weekly Event

If you select Weekly in the drop down box below Repeat you will be prompted to select how frequently you want the weekly event to occur and on which day of the week you want the event. In this example we are creating a Weekly Update meeting that occurs every Monday from 10:00AM-11:00AM. When you have made the appropriate selections, choose the Create button at the bottom left of the box.

You will then be taken to your calendar. You should see your event occurring every Monday on the calendar.

Monthly Event

If you select Monthly in the drop down box below Repeat you will be prompted to select how frequently you want the monthly event (every month, every 2 months, etc.) to occur and whether you want the event to occur on the same day of the month (always on the 5th, etc.) or the same day of the week (always on the first Monday, etc.). In this example we are creating a Monthly Call that occurs on the 8th of every month from 1:00PM-2:00PM. When you have made the appropriate selections, choose the Create button at the bottom left of the box.

You will then be taken to your calendar. You should see your event occurring on the 8th of every month on the calendar.

Yearly Event

If you select Yearly in the drop down box below Repeat you will be prompted to select how frequently you want the yearly event to occur. In this example we are creating a yearly event called Mom’s Birthday that occurs every year on September 21st. When you have made the appropriate selections, choose the Create button at the bottom left of the box.

You will then be taken to your calendar. You should see your event occurring every year on September 21st.

Integrating Your Calendar With ICal

The ICal is short for ICalender, which is a file format that allows you to share your calendar from one application with another one. As long as both accept the ICal file format, the user can update their calendar in one place and have their other calendars updated as well. This is what you’re going when you share your Google Calendar with Karma CRM’s calendar. If you need to import the Karma CRM calendar to another platform that accepts ICal, all you need to do is grab the ICal URL.

To get the URL for the ICal feed, select any of the drop-down arrows to the right of the calendar and choose Calendar Settings.

In the Edit Calendar box, you can copy and paste the ICal URL to paste into any platform that supports the ICal format.

Adding Tasks to the Calendar

You can also set up reminders for tasks with your Calendar. Task reminders are perfect for when you have something to do that isn’t an event, but you still need to be reminded about it. Tasks can be things you need to get done in relation to an event or independent errand, chore or responsibility that needs to be addressed.

To add a task, click on the New Task button to the right of the calendar.

You need to name the task, select the due date and then select create. If you choose, you may also assign the task to a person or company, categorize the task, and choose who can see the task.

The task will then appear on the Calendar on its due date. It will have a check box so you are able to check it when you’ve completed the task.

Once you’ve completed the task and check the box a notice will appear that the task has been completed and it will then be removed from your calendar.
